Provide advanced administrative support to Breast Pathology faculty and trainees, managing patient assets and assisting with departmental scheduling, correspondence, and event coordination. This role ensures efficient operation of clinical services and supports academic activities.
Responsibilities
- Provide advanced administrative support to Breast Pathology faculty and trainees in Anatomic Pathology's clinical service
- Manage patient assets for faculty, fellows, and residents, including diagnostic slides and paraffin blocks
- Assist Pathologists in creating and maintaining the Pathology Departmental Service Calendar using departmental scheduling software and Laboratory Information System applications
- Prepare professional correspondence, memoranda, reports, and manuscripts
- Ensure safe and timely management of patient assets and additional required testing, including follow-up on Turnaround Time (TAT)
- Assist faculty in preparing teaching materials, abstracts, grants, articles, and other documents for submission
- Assist with Breast Pathology Fellowship Director with Fellows recruiting, onboarding, reimbursements, and offboarding
- Schedule and maintain calendar of appointments, meetings, and travel itineraries, coordinate related arrangements and reimbursements
- Assist with planning events and conferences
- Manage telephone calls from internal and external customers, receive visitors, and resolve routine and complex inquiries
- Make independent decisions regarding planning, organizing, and scheduling meetings while managing workflow
- Maintain CV and other certification documents for faculty
Requirements
- Associate degree or equivalent education and experience
- 4+ years of administrative support experience
- Experience utilizing Microsoft Word, PowerPoint, Excel, and web-based applications
- Excellent interpersonal and written communication skills
- Ability to work independently with general supervision and maximum collaboration in a team environment
- Strong customer service skills
- Ability to work with a diverse group of people in a diplomatic and effective manner
- Ability to multi-task and work well under time constraints
- Strong organizational skills
- Demonstration of commitment to Service Excellence
Qualifications
- Associate degree or an equivalent combination of education and experience
- Minimum of four years of administrative support experience
