Provide high-level administrative support to faculty leadership and other faculty within the Division of Rheumatology at Michigan Medicine. This role requires strong organizational skills, collaboration within a complex organization, and a high level of integrity.
Responsibilities
- Provide complex calendar management for faculty, prioritizing and responding to frequent changes
- Act as lead and main point of contact for managing all Divisional conferences, seminars, and grand rounds
- Manage long-term coverage, vacation coverage, and part-time pager coverage for faculty
- Coordinate meetings, symposiums, and other large events, including room reservations, catering, AV needs, and travel arrangements
- Assist faculty with correspondence and calendar management, maintaining CVs, biosketches, and Other Support
- Procure office, laboratory supplies, equipment, and professional society memberships; establish service contracts, track invoices, and process payments
- Create forms, Excel spreadsheets, databases, and PowerPoint presentations for divisional leadership functions
- Assist with annual projects, faculty orientation, faculty evaluations, and alumni database management
- Assist with clinic closing processes and documentation, and submitting faculty vacation
- Participate in team meetings, assist team members, provide coverage for other administrative positions, and contribute to continuous improvement
Requirements
- 4+ years progressively responsible administrative experience (Senior Level) OR 2-4 years administrative experience (Intermediate Level)
- Highschool Education or equivalent
- Proven ability to prioritize, exceptional organizational skills, meet deadlines, and produce detailed and accurate work
- Demonstrated ability to work successfully within a team and independently, exercising good judgment
- Excellent computer skills (Microsoft, Google, calendaring platforms)
- Proven ability to assess and handle highly sensitive and confidential matters with discretion and integrity
- Strong interpersonal skills
- Excellent written and oral communication skills
- Flexibility with schedule
Qualifications
- Highschool Education or equivalent
- 4+ years progressively responsible administrative experience (Senior Level) or 2-4 years administrative experience (Intermediate Level)
Nice to Have
- Proactive team member willing to assist others and meet multiple concurrent deadlines
- Experience in Adobe Photoshop
- Experience with University systems and considerable knowledge of University policy and procedures
