About This Role

This role involves coordinating various administrative and project-related tasks to support account management, ensuring accuracy and timely completion. The successful candidate will leverage strong organizational and communication skills to maintain positive relationships with internal and external stakeholders.

Responsibilities

  • Meet deadlines and multi-task while maintaining a high level of accuracy
  • Assess and prioritize multiple tasks using analytical skills to define and solve problems with a sense of urgency
  • Establish and maintain positive and cooperative working relations with all levels of internal and external contacts
  • Track, review, and process daily project productivity reports and weekly personnel timesheets
  • Assist in the development of documentation regarding construction projects
  • Type and track letters of intent, contracts, and correspondence
  • Create and maintain spreadsheets in Microsoft Excel
  • Assist with CRM follow-ups and updating opportunities
  • Assist with project complexity analysis gate review process
  • Complete prequalification forms

Requirements

  • 3+ years experience in office management, administrative assistance, or related field
  • Proficient in MS-Word, Excel, and Outlook
  • Mathematical skills for pricing, quotes, and invoicing
  • Ability to multi-task in a fast-paced environment
  • Previous experience working with a CRM (e.g., Salesforce, HubSpot)
  • Ability to analyze and communicate information to all organizational levels
  • Excellent written and verbal communication
  • Excellent interpersonal skills
  • Ability to work well within a team environment

Qualifications

  • Minimum of 3 years' experience in office management, administrative assistance, or related field

Nice to Have

  • Industrial or commercial construction experience
