This role involves processing, managing, and tracking vehicle orders and deliveries within the Asset Procurement team. The Vehicle Procurement Administrator will act as a key contact for delivery-related queries and ensure smooth operations for vehicle acquisitions.
Responsibilities
- Process vehicle orders via the vehicle management system
- Place orders with manufacturers, dealers, and body converters
- Proactively manage vehicle deliveries, expediting and escalating as required
- Monitor delivery reports and SharePoint dashboards
- Identify late or unacknowledged orders and chase outstanding receipting
- Act as the main contact for delivery enquiries and changes
- Support inbound volume planning, deferrals, and priority orders
- Review invoices and resolve queries with Finance and Purchasing
- Assist with non-standard vehicle quotations when required
Requirements
- Experience in an administrative or coordination role
- Strong IT skills, including Excel and Microsoft applications
- Excellent attention to detail and organisational skills
- Ability to prioritise workload and meet deadlines
- Strong customer service and communication skills
- Proactive, flexible team player
Qualifications
- Experience in an administrative or coordination role
Nice to Have
- Experience in the automotive or vehicle hire industry
- Vehicle purchasing knowledge
- Familiarity with Northgate systems, Microsoft AX, or SharePoint
