Provide high-level administrative and project management support to physician Division Directors within the Brigham Obstetrics and Gynecology Group (BOGG) and the Family Planning Division, managing calendars, communications, and coordinating meetings while maintaining confidentiality.
Responsibilities
- Provide administrative support to physician Division Directors
- Perform Outlook calendar management and utilize Microsoft Office Suite (Word, Excel, PowerPoint, Access, Teams)
- Answer and screen incoming telephone calls and inquiries, making proper referrals
- Coordinate calendars and meetings for assigned physicians, including travel arrangements and events
- Type and disseminate meeting minutes as directed
- Perform transcription of dictated physician notes
- Work on projects, coordinate work, and take initiative independently
- Assist with special projects as directed
- Provide cross coverage as needed across Brigham OB/GYN Divisions
- Follow HIPAA guidelines for patient privacy and confidentiality
Requirements
- High School Diploma or Equivalent
- 5-7 years administrative experience
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- Ability to work independently with minimal supervision
- Strong attention to detail and problem-solving skills
- Professional demeanor and ability to interact effectively with all levels of staff
Qualifications
- High School Diploma or Equivalent required or Associate's Degree Business Administration preferred or Associate's Degree Related Field of Study preferred
- 5-7 years experience in an administrative role, preferably in a healthcare setting and 1-2 years experience supporting senior-level staff
