About This Role

The Program Assistant supports the Residential, Outpatient, and Medical Records Departments by performing record keeping, data entry, and census management tasks. This role ensures documentation compliance, monitors staff adherence to confidentiality regulations, and assists with data management initiatives.

Responsibilities

  • Communicate with the Admissions department regarding new intakes and available capacity
  • Review new participant information and assign participants to a counselor
  • Monitor staff compliance with federal and state confidentiality regulations
  • Ensure outside visitors and vendors sign the confidentiality log
  • Attend daily morning report and record meeting minutes as requested
  • Report participant transfer/discharge list through email system as directed by Program Director
  • Demonstrate trauma informed care principles and excellent customer service
  • Assist with data management initiatives to ensure efficiency, quality of care, and compliance standards
  • Record participant urine drug screen results in participant’s CMBHS record
  • Maintain participant records in compliance with DSHS, HIPAA, and other regulatory agencies

Requirements

  • High school diploma or general education degree (GED)

Qualifications

  • Minimum of high school diploma or general education degree (GED)
  • Preferred one to three months related experience in and/or training clinical aspects of the job

Nice to Have

  • One to three months related experience in clinical aspects
