Payroll Specialist

About This Role

This Payroll Specialist will manage the day-to-day payroll functions for over 4,000 employees across 220+ veterinary practices, ensuring accurate and timely processing using ADP Workforce Now. The role requires upholding internal controls and maintaining compliance with federal and state payroll regulations, collaborating closely with HR, Accounting, and Operations.

Responsibilities

• Manage and process payroll for over 4,000 employees across 220+ practices using ADP Workforce Now
• Ensure accurate and timely payroll processing, including tax filings and compliance adherence
• Collaborate with HR, Accounting, Operations, and external vendors to streamline payroll processes
• Resolve complex payroll issues and discrepancies within 48 business hours
• Maintain and update payroll records, ensuring data accuracy and security
• Stay current with federal, state, and local payroll laws and regulations
• Develop and implement improvements to payroll systems and procedures to enhance efficiency
• Build and maintain strong relationships with external payroll and tax vendors, legal counsel, and internal stakeholders
• Participate in payroll audits, reporting, and process documentation efforts
• Anticipate payroll-related challenges and develop contingency plans to mitigate risks

Requirements

• 5+ years of progressive experience in payroll operations management
• Extensive experience with ADP Workforce Now or similar payroll systems
• Bachelor’s degree in Finance, Accounting, Human Resources, or a related field
• Strong knowledge of U.S. employment laws, payroll regulations, and multi-state payroll compliance
• Exceptional attention to detail and analytical problem-solving skills
• Excellent communication and interpersonal skills
• Ability to manage multiple priorities effectively and meet deadlines
• Experience resolving complex payroll discrepancies within tight timeframes
• Familiarity with payroll tax laws, filings, and vendor management

Qualifications

• Bachelor’s degree in Finance, Accounting, Human Resources, or a related field
• 5+ years of progressive experience in payroll operations management
