This Part Time Training Coordinator position involves planning logistics for training classes and serving as an on-site course administrator. The role requires extensive travel and administrative tasks to ensure effective delivery of training programs.
Responsibilities
- Plan logistical aspects for training classes
- Serve as an on-site course administrator for training classes
- Manage paperwork, computer work, and logistical planning for classes
- Travel with personal vehicle to transport class materials (mileage reimbursed)
- Be away from home for up to 2-3 weeks a month for training
- Travel to Oxford approximately 5 times annually for administrative meetings (mileage not reimbursed)
- Serve as lead instructor when Director is not present
- Ensure adequate resources are on site and make administrative decisions for class problems
- Ensure all curricula (SFST, ARIDE, DRE) are administered and taught according to NHTSA standards
- Assign duties to adjunct instructors and schedule adequate instructors for each class
- Maintain on-site records of class rosters and grades
- Issue certificates to class participants
- Notify instructors of pre-class instructor meetings
- Receive and grade field test logs, issue certificates, and post congratulatory notations on social media
- Follow up with persons needing to re-submit field test logs
- Ensure publicly posted training calendar is up-to-date with class details
- Organize materials from previous classes for record retention
- Oversee planning and follow-up of all classes
- Organize and maintain office files and training records
- Maintain large databases of class participants and program statistics
- Assist with clerical work and grant reporting as needed
- Notify area agencies of future training and facilitate registration process
- Conduct follow-up with registrants to confirm attendance and fill classes
- Follow up with attendees within 45 days after SFST course to encourage certification completion
- Help with instruction if local instructors are unavailable
- Manage logistics for trainings including reserving hotels, securing classroom space, providing materials, and coordinating adjunct instructor travel
Requirements
- Proficiency in Excel, Word, and email programs
- Self-starter with ability to complete tasks on time
- Willingness to travel in personal vehicle with storage space for class materials
- Ability to be away from home for up to 2-3 weeks a month
- Willingness to travel to Oxford 5 times annually for meetings without mileage reimbursement
- Familiarity with SFST, ARIDE, and DRE curricula
- Knowledge of NHTSA standards
