Coordinate and support all matters related to Warehouse office management and logistics, ensuring alignment with the district's operational goals and facilitating communication between stakeholders. Guide and support logistical functions including delivery coordination, inventory tracking, and budget management to ensure smooth warehouse and procurement operations.
Responsibilities
- Manage and support day-to-day warehouse operations, including food service deliveries, freight management, and logistical coordination
- Promptly address telephone and email inquiries, ensuring timely departmental responses
- Assist in reconciling purchase orders and confirming product receipt in the ERP system
- Provide high-level administrative support and collaborate with operational departments for school support
- Assist in the management, distribution, and closing of work orders
- Aid in asset management, inventory support, accurate record keeping, and maintenance of applicable records
- Assist in developing and maintaining staff assignments, route information, and operational data
- Coordinate warehouse events and meetings, prepare agendas, and take meeting minutes for administrators
- Act as liaison and support to the procurement department
- Develop and maintain electronic data and resource files, including Standard Operating Procedures
- Monitor the General Office Supplies budget, pre-approve requisitions, and approve invoices for payment
- Provide high-level administrative support to operations administrators overseeing warehouse and procurement
- Design and implement office policies by establishing standards and procedures
- Manage confidential documents, contracts, and critical information
- Manage and facilitate approval of administrators' reservations and travel arrangements for staff development
Requirements
- Proficient at keyboarding and Google Chrome, Word, Excel, PowerPoint, and Adobe Software
- Knowledge of accounting terms, spreadsheets, and practices
- Knowledge of business/purchasing practices
- Skilled in high order mathematical fundamentals and calculating
- Attention to detail and accuracy
- Problem solving skills
- Able to work independently
- Ability to utilize various web-based applications
- Maintain confidentiality
- Financial, Construction Project, and Office Administration knowledge background
Qualifications
- Bachelor's degree in a related field preferred (or extensive professional experience equivalent)
- Three years or more as an office manager
