This Office Associate II role provides intermediate administrative support to the Medical Services team, assisting with scheduling appointments, managing records, and performing general office duties. The position ensures efficient operation of the Medical Services unit by handling various administrative tasks and inquiries.
Responsibilities
- Serve as the administrative assistant to the Medical Services Program Manager
- Review, code, and enter invoices into the automated document management system
- Track and submit credit card purchase logs to the Finance Department
- Review purchase authorizations and submit to accounting for payment
- Order and maintain inventory of supplies
- Assist with obtaining signatures and supportive documentation for patient assistance applications
- Assist with scheduling outpatient service appointments for providers, agency staff, and consumers
- Answer telephones, greet visitors, and provide information about RBHA services
- Reschedule and cancel appointments, communicating with providers and consumers
- Coordinate multiple appointments
- Confirm appointment dates and times with consumers and care providers
- Obtain and verify documentation for scheduled appointments and requests
- Receive, sort, process, and distribute incoming and outgoing mail
- Schedule monthly Medical Services Check-ins
- Attend required meetings and participate in team activities and professional development
Requirements
- Ability to answer inquiries and assist the general public in a courteous manner
- Ability to understand and follow oral and written instructions
- Ability to be a self-starter that can multi-task in a stressful deadline-oriented environment
- Ability to interact and communicate professionally and effectively with internal personnel, providers, organizations, care providers, consumers, and family members
- Good organizational skills
- Ability to accurately use a computer and enter data in an electronic medical records system
- Adherence to HIPAA privacy regulations
