About This Role

The Legal Assistant will support a team of Shareholders, Attorneys, and Paralegals, ensuring smooth daily operations by managing documents, scheduling, and client correspondence. This role is crucial for delivering high-quality legal service in a local government law environment.

Responsibilities

  • Provide administrative support, including typing, drafting, formatting, and proofreading legal documents
  • Manage high-volume document preparation, review, distribution, and client signature processes
  • Prepare routine legal documents and correspondence from attorney notes or templates
  • Manage Adobe e-signature submissions and provide status updates
  • Manage and maintain attorney and firm calendars, scheduling meetings and resolving conflicts
  • Serve as a point of contact for special district inquiries from various stakeholders
  • Maintain a high volume of digital client files ensuring accuracy and accessibility
  • Collect and e-file legal documents including contracts, agreements, and resolutions
  • Record legal documents with local and state agencies
  • Update and maintain the client database (Practice Master)

Requirements

  • Minimum of three (3) years’ experience as a legal or administrative assistant
  • Advanced proficiency with Microsoft 365 (Word, Outlook, Excel) and Adobe Acrobat Pro (e-signatures)
  • Excellent organizational skills and attention to detail
  • Demonstrated ability to work effectively in a high-volume, deadline-driven environment
  • Strong interpersonal, verbal, and written communication skills
  • Ability to solve problems, prioritize tasks, and manage workload

Qualifications

  • High school diploma or equivalent
  • Minimum of three (3) years’ experience as a legal or administrative assistant.

Nice to Have

  • Experience in a law firm or corporate legal department
  • Exposure to special districts or local government law
  • Some college preferred or background in legal studies/paralegal studies
  • Experience with client databases (e.g., Practice Master) and electronic document management systems (Epona, SharePoint)
