About This Role

This role supports the Office of Financial Aid by managing daily activities, performing clerical duties related to financial aid programs, and ensuring compliance with federal, state, and institutional regulations. The specialist will provide essential information and assistance to students, staff, and the public regarding financial aid processes.

Responsibilities

  • Coordinate and process all outgoing correspondence using Colleague’s Communication Module
  • Communicate effectively via email, responding to routine financial aid inquiries
  • Maintain the Financial Aid Office email account
  • Assist callers and visitors with routine financial aid matters, directing inquiries as needed
  • Help students/families complete FAFSA, IRS data retrieval, loan MPNs, entrance/exit counseling, and scholarship searches
  • Distribute and review financial aid forms for accuracy
  • Utilize federal databases to troubleshoot FAFSA results or loan status inquiries
  • Receive, track, and electronically file financial aid documents into student records
  • Assist in the receipt and opening of documents from various sources
  • Review documents for proper signatures, attachments, and completion
  • Log documents in Colleague, the University’s Student Management System
  • Scan and index documents in the document imaging system SoftDocs
  • Provide follow-up calls for missing or incomplete documents
  • Assist with specialized data entry and processing projects for financial aid verification and awarding
  • Order and maintain permanent copies of reports for retention requirements
  • Schedule appointments and manage departmental scheduling needs
  • Maintain inventory of office materials and supplies, anticipating ordering needs
  • Resolve all undeliverable mail issues
  • Assist the Director of Financial Aid with the administration of the Tuition Exchange Program
  • Represent the Office of Financial Aid campus-wide and at special events
  • Model, support, and facilitate quality customer service

Requirements

  • High School Diploma

Qualifications

  • High School Diploma required; Associates Degree preferred
  • 3 years office experience or related experience preferred
