Support senior management within the Emerging Systems Business Unit by managing calendars, coordinating travel, and handling various administrative functions. This role is crucial for maintaining smooth operations in a fast-paced space technology environment.
Responsibilities
- Provide comprehensive executive support: calendar management, meeting scheduling, and commitment follow-up
- Coordinate detailed travel arrangements, meeting agendas, and process expense reports using Concur
- Build and maintain strong relationships with vendors, stakeholders, and team members across time zones
- Greet visitors professionally, manage visitor registration, badge issuance, and adhere to security protocols
- Assist in planning offsite events and team-building activities, coordinating logistics from conception to execution
- Support onboarding processes for new hires, including badge printing and office setup
- Maintain office supplies and manage office center resources across campus
- Lead or assist in various projects such as workspace setup, conference room management, procurement, and internal communications
- Execute tasks with precision and prioritize multiple demands in a dynamic environment
- Proactively identify and resolve administrative issues, demonstrating strong decision-making skills
Requirements
- Minimum of 5 years of experience supporting senior executives or leadership teams
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Exceptional oral and written communication skills
- Strong organizational and administrative skills with attention to detail
- Proven problem-solving abilities and a bias for action
- High emotional maturity and ability to work under stress
- Discretion in handling confidential information
- Ability to build and maintain professional relationships
- U.S. citizen or national, U.S. permanent resident (Green Card holder), or lawfully admitted into the U.S. as a refugee or granted asylum
Qualifications
- Minimum of 5 years of experience supporting senior executives or leadership teams
Nice to Have
- Bachelor’s degree
- Aerospace or technical environment experience
- Familiarity with manufacturing or related fields
