This position provides comprehensive administrative support to multiple managers and executives, including coordinating meetings, managing client communication, and various general office duties.
Responsibilities
- Adhere to all compliance programs and complete required training
- Coordinate, schedule, and confirm meetings, conferences, and special events
- Perform general administrative duties such as composing letters, answering phones, and preparing presentations
- Handle client communication regarding signatures, documentation, online access, and account inquiries
- Prepare for client portfolio reviews using APX and direct communication
- Create and maintain client service records
- Provide sales support for meetings and coordinate follow-up with contacts
- Maintain an extensive CRM contacts database
- Create and maintain Pipeline reports and client files
- Design announcements and other collateral materials
- Prepare and track expense reports
- Assist in the account opening process for new clients
- Cover the receptionist desk as needed
Requirements
- High School diploma or equivalent
- 3+ years of related experience
- PC proficiency in Microsoft Office
- Proficiency in Client relationship management programs (CRM)
- Highly organized and flexible
- Excellent verbal/written communication skills
Qualifications
- High School diploma or equivalent required; Bachelor’s degree preferred
- Minimum of 3 to 5 years of related experience required
Nice to Have
- Bachelor's degree
- Background in sales support/marketing
- Knowledge of financial concepts
- Proficiency in Photoshop
