Provide comprehensive administrative support to the Head of Global Rare Diseases, managing communications, scheduling, and project coordination. Support the team in delivering breakthrough treatments for immune challenges, rare diseases, cancers, and neurological conditions.
Responsibilities
- Provide administrative support requiring advanced knowledge of department and business functions
- Interface regularly with internal management, staff, and support to complete tasks
- Manage Head of Global Rare Diseases communications, including calls, meeting planning, and emails
- Oversee organization and maintenance of department filing system, including confidential data
- Ensure department supply needs are met
- Respond to various inquiries for information according to general guidelines
- Perform complex, specialized projects requiring strong initiative and project management skills
- Exercise discretion and judgment in handling confidential material and information
- Prepare grammatically correct correspondence, reports, tables, analyses, spreadsheets, budgets, and presentations
- Constantly seek, design, and implement improvements on administrative procedures
- Coordinate meetings, maintain calendars, and make travel arrangements
- Manage accurate, correct, and timely department inputs and outputs from key internal systems
- Provide guidance and training to less experienced administrative staff
Requirements
- High School Diploma
- 5+ years' administrative experience
- 5+ years' experience using computer technology including Microsoft Suite (Excel, PowerPoint, Word)
Qualifications
- High School Diploma or Degree
- 5+ years of administrative experience, ideally supporting senior-level business leaders
Nice to Have
- Degree
- 5-10 years' experience supporting senior-level business leaders in pharmaceutical or biotech
- Strong interpersonal skills
- Project Management experience
- Advanced skills in Microsoft Excel, PowerPoint, and Word
