About This Role

This Executive Assistant role provides comprehensive administrative, operational, and project management support to executives, ensuring their effectiveness and fostering a positive employee experience across three executive teams. The ideal candidate is a meticulous planner, proactive problem-solver, and a strong culture facilitator.

Responsibilities

  • Manage active calendars for executives, coordinating internal and external stakeholders
  • Coordinate complex travel arrangements and process expense reports
  • Compose and prepare internal correspondence, ensuring clear and timely communication
  • Keep executives informed of upcoming commitments and responsibilities, following up proactively
  • Oversee shared calendars for executive teams to streamline meeting coordination
  • Independently manage and execute special projects and initiatives assigned by executives
  • Develop and own agendas for executive leadership and all-hands meetings, tracking action items
  • Track and manage OKR/goal alignment processes for each executive’s team
  • Track and manage internal communications cadence and channels within executive teams
  • Create and prepare presentation decks and other internal documentation as needed
  • Act as a key ambassador for creating and maintaining a positive team culture
  • Plan and execute virtual and in-person events for executive teams to foster bonding and connection
  • Partner with Sr. Workplace Manager to develop and implement strategy for uplifting remote work experience
  • Collaborate with other Executive Assistants for cross-team engagement and joint events
  • Partner with Sr Dir, L&D to incorporate a learning and development focus into team events

Requirements

  • 7+ years of experience in executive administration, project management, or a related capacity
  • Proven ability to act as a team player and build productive working relationships
  • Demonstrated experience in handling sensitive and confidential company information
  • Exceptional calendar management skills with complex executive meetings
  • Event planning experience
  • Strong proficiency with Google Suite, Microsoft Office, and online tools (spreadsheets, presentation software)
  • Demonstrated experience incorporating Artificial Intelligence into daily work to improve efficiency
  • Resourceful, proactive, and intellectually curious
  • Exhibits sound judgment with ability to prioritize and make decisions
  • Strong culture facilitator

Qualifications

  • A minimum of 7 years of experience in an executive administration, project management, or a related capacity
