About This Role

Provide comprehensive administrative and organizational support to Senior Leadership in Psychiatry and Behavioral Health, ensuring efficient operations and handling sensitive matters with discretion.

Responsibilities

  • Exercise judgment and discretion to handle incoming issues and requests, determining appropriate actions and responses
  • Utilize Hospital chains of command and reporting systems to triage matters, including time-sensitive and confidential information
  • Manage supervisor's calendars and meeting schedules, considering timing, sequencing, and travel requirements
  • Arrange external travel and itineraries for senior leadership
  • Plan, prepare, and execute logistical and administrative requirements for meetings, interviews, seminars, conferences, and special events
  • Circulate agendas, minutes, presentations, and other materials, coordinating logistical and technological arrangements
  • Support business and financial operations through expense tracking, contract management, purchase orders, and budget tracking
  • Draft emails, create and edit correspondence, and draft other communications as directed
  • Accurately maintain an effective filing and document management system for department information and files
  • Interact with vendors and external parties

Requirements

  • Minimum 1 year of relevant administrative experience
  • Ability to work with a high degree of independence from conception to completion
  • Ability to work under pressure and handle simultaneous activities and confidential matters with trust and discretion
  • Analytical skills to resolve problems requiring basic scientific, mathematical, or technical principles
  • Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations
  • Ability to prioritize, oversee, and manage projects
  • Ability to work with diverse internal and external constituencies
  • Expert in Microsoft Office suite and PeopleSoft

Qualifications

  • Bachelors Degree or equivalent experience
  • Minimum 1 year of relevant administrative experience, 3 years preferred
