Support a top-producing mortgage executive as an Executive Assistant, focusing on revenue protection by managing communications, lead response, scheduling, and follow-up to ensure no opportunities are missed and the executive's time is maximized for growth.
Responsibilities
- Respond immediately to inbound leads via phone, text, and email
- Schedule consultations and onboard leads
- Track follow-up to ensure no opportunity is missed and maintain accurate CRM records
- Monitor and manage the executive’s email inbox, responding to routine messages and flagging urgent matters
- Coordinate communication with internal team members
- Manage calendar, appointments, and confirmations
- Prepare daily and weekly call lists and prioritize high-impact activities
- Track tasks, deadlines, and commitments to ensure completion
- Book business and personal travel
- Coordinate gifting execution and handle administrative tasks
Requirements
- 2+ years experience as an Executive Assistant, Operations Coordinator, or similar role
- Strong written and verbal communication skills
- Confident phone presence when speaking with clients and partners
- Highly organized, detail-oriented, and proactive
- Comfortable with email, calendars, CRM systems, and task management tools
- Ability to work full-time during U.S. business hours
- Legally authorized to work in the U.S.
Qualifications
- 2+ years experience as an Executive Assistant, Operations Coordinator, or similar role
