About This Role

The Division Assistant will provide essential administrative support to the Assistant Director of the Energy Development Services Division, managing scheduling, preparing meeting materials, and coordinating program support activities. This role helps ensure operational continuity across the division and the agency, providing crucial administrative assistance to management.

Responsibilities

  • Serve as the primary administrative assistant to the Assistant Director of the Energy Development Services Division
  • Manage scheduling and prepare meeting materials
  • Coordinate program support activities
  • Provide administrative support to agency management on behalf of their respective programs
  • Prepare, edit, and maintain reports, including researching and presenting information clearly and accurately
  • Prepare for and support meetings or events, including developing agendas, drafting materials, and coordinating logistics
  • Enter and track data accurately across systems or databases

Requirements

  • Secretarial or administrative support experience coordinating office procedures
  • Experience preparing narrative and statistical reports
  • Experience with administrative data collection and analysis

Qualifications

  • Associate degree in general office occupations or equivalent combination of education and experience
  • Three years of secretarial or administrative support experience OR an associate degree and two years of secretarial or administrative support experience

Nice to Have

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), PDF tools
  • Proficiency in virtual meeting platforms (Microsoft Teams, Zoom, Webex)
  • Proficiency in entering and tracking data accurately across systems or databases
  • Experience delivering excellent customer service in a professional office setting
  • Ability to communicate clearly and respectfully with diverse stakeholders
  • Experience preparing, editing, and maintaining reports
  • Ability to prepare for and support meetings or events
