This role is for a highly organized and proactive Administrative Program Coordinator to support supplier engagement, meeting operations, and data-readiness across a global field services organization at Microsoft. The position ensures seamless communication and reliable process execution between suppliers, category teams, and internal engineering groups.
Responsibilities
- Own scheduling, logistics, agenda-setting, and facilitation support for monthly supplier rhythm of business calls with approximately twenty global suppliers
- Capture structured meeting minutes, track action items, and drive timely follow-ups until closure across all supplier engagements
- Act as primary point of contact for supplier questions regarding access, dashboards, portal usage, and general process clarification
- Manage supplier onboarding steps including sharing access instructions, validating provisioning, confirming account activation, and tracking adoption
- Provision and verify supplier access to planning dashboards, portals, and data-entry tools while troubleshooting common issues
- Perform administrative data checks for completeness, missing entries, and stale updates based on alerts prepared by technical teams
- Maintain logs of data discrepancies and track follow-up conversations until resolved
- Maintain updated standard operating procedures, onboarding guides, training materials, supplier instructions, escalation paths, and internal checklists
- Document workflow changes, new processes, and planning improvements identified during workshops and cross-team meetings
- Organize shared folders, archives, and version-controlled documentation for easy stakeholder access
- Maintain supplier contact lists, organizational charts, escalation paths, and ensure up-to-date records
- Monitor portal usage and completeness while following up with suppliers to achieve adoption and data submission targets
- Track invoices and purchase orders issued to suppliers and document progress
Requirements
- 5+ years of experience in administrative coordination, project coordination, supplier management, or program support
- Demonstrated experience in supply chain operations or related field
- Proven background in business operations coordination
- Experience working with global suppliers and managing cross-functional relationships
- Bachelor's degree or equivalent professional experience
- Exceptional organizational abilities with strong attention to detail
- Outstanding written and verbal communication skills
- Ability to manage multiple parallel workflows simultaneously
- Strong stakeholder management and relationship-building capabilities
- Proficiency with Microsoft ecosystem including Teams, SharePoint, Excel, and PowerPoint
- Experience supporting dashboards, portals, or business workflows
- Ability to work effectively with global teams across multiple regions and time zones
- Strong follow-up discipline and ability to drive tasks to completion
- Problem-solving skills with ability to troubleshoot common system and access issues
Qualifications
- Bachelor's degree or equivalent professional experience
- Five or more years of experience in administrative coordination, project coordination, supplier management, or program support
