This Unit Clerk position functions as a clerical assistant to the Charge Nurse, primarily responsible for organizing and maintaining resident medical records, ordering supplies, and providing administrative support within a medical facility. The role involves independent procedural duties with emphasis on accuracy.
Responsibilities
- Create, maintain, and organize active resident medical records and charts
- Initiate all charts and forms appropriate to an admission and check for proper document sequence
- Order and maintain inventory of supplies for new admissions and transfers
- Prepare documentation for transfers and hospital returns, ensuring completeness and required signatures
- Separate and organize charts by death/discharge status and distribute inactive records to Medical Records Administrator
- Create, update, and maintain various logs, lists, and forms as directed by supervisor
- Update resident census and maintain residents' addressograph cards and name bracelets
- Contact medical department to schedule residents for clinics, x-rays, tests, and hospital admissions
- Answer telephone and intercom, respond to emails, and provide customer service to visitors, residents, and staff
- Transport medical equipment and transcribe/send resident meal selections according to schedule
- Maintain inventory of office and medical supplies, ordering when necessary
- Establish and maintain files in alphabetic, chronological, numerical or other order
- Provide information according to HIPAA guidelines upon request and carry out interdepartmental errands
- Receive and distribute mailed correspondence to appropriate parties or residents
Requirements
- Completion of a high school, or general equivalency, diploma
- At least six (6) months of general clerical work experience OR at least one (1) year of work experience in a medical setting
- Completion of Feeding Program training
- Basic knowledge of clerical practices and procedures
- Ability to use standard office equipment
- Knowledge of computers and computer software, including Microsoft Office
- Knowledge of proper records management, retention, and cataloguing of files
- Knowledge of medical facility organization and emergency procedures
- Excellent communication and interpersonal skills
- Ability to maintain confidential and sensitive information
- Ability to learn and use medical terminology
- Ability to handle stressful situations and function with distractions
- Ability to read, write, speak, understand and communicate in English at a proficient level
Qualifications
- High school diploma, or general equivalency, diploma
- At least six (6) months of general clerical work experience OR at least one (1) year of work experience in a medical setting
