Provide comprehensive administrative support to VP/GMs and other leadership team members, managing complex calendars, coordinating travel, processing expenses, and organizing high-level meetings. This role also supports departmental logistics and presentation preparation.
Responsibilities
- Proactively manage complex calendars with competing priorities
- Process incoming calls and determine urgency, elevating appropriately
- Schedule business travel and accommodations, and reconcile expense reports
- Process incoming and outgoing mail, monitor email for appointments
- Reconcile and submit bills for payment via SAP
- Interact effectively with Senior Leadership and all levels of the organization, representing the executive
- Handle administrative matters for meetings, including booking rooms, catering, and supplies
- Create and update departmental files, assemble and compile data for reports and presentations
- Organize, coordinate, and attend staff meetings to document pertinent information
- Create high-quality PowerPoint presentations and Excel spreadsheets, maintain org charts
- Serve as back up for other executives as a member of the Administrative team
Requirements
- Minimum of a High School Diploma or equivalent work experience
- 5+ years of administrative assistant experience
- Ability to effectively communicate across all organizational levels
- Actively listen to colleagues and stakeholders

Qualifications
- Minimum of a High School Diploma with formal training or equivalent work experience required
- A minimum of five years of administrative assistant experience

- Experience supporting multiple leaders in a multi-functional, fast-paced environment
- Experience at a progressively responsible and/or corporate level
