This role involves providing essential dispatch and administrative support for the service department, ensuring efficient operation and client satisfaction. You will coordinate field personnel, manage work orders, handle invoicing, and perform various administrative tasks to support project activities and maintain client relationships.
Responsibilities
- Coordinate and assist with prioritizing the dispatching of field personnel and resources
- Keep clients updated on the status of requested service
- Create and update files of various types including documents, spreadsheets, and databases
- Perform administrative activities such as answering phones, drafting emails, and assisting visitors
- Create, update, and modify work orders, including entering lump sum budgets and issuing purchase orders
- Create and submit customer invoices and follow up on overdue payments
- Compose and/or edit letters, memos, reports, and procedures
- Create client proposals based on provided information and pricing
- Provide coding and time entry assistance to field personnel
- Coordinate and schedule maintenance contract activities and manage renewals
- Assist in the coordination of jobsite activities such as deliveries and equipment
- Coordinate and supervise administrative support activities with additional personnel
- Promote the company safety culture and safety awareness

Qualifications
- High school diploma or General Education Degree (GED)
- 1 year or more of related work experience preferred, or other technical experience such as military, public service, on the job training programs
