About This Role

Lead and manage daily sales support operations for a wholesale distribution team in Milwaukie, Oregon, ensuring seamless order processing, invoicing, and customer interactions while optimizing workflows and maintaining compliance.

Responsibilities

  • Oversee the daily operations of the sales support team, ensuring tasks are completed accurately and efficiently
  • Manage order processing, invoicing, delivery tracking, and customer communication to maintain high standards of service
  • Provide direct supervision, training, and mentorship to Sales Assistants, encouraging attention to detail and team collaboration
  • Prepare and deliver detailed reports on job status, billing summaries, and departmental activities to support decision-making
  • Coordinate shipment tracking, vendor communication, and change orders to ensure smooth project execution
  • Verify and reconcile invoices, credits, debits, and claims while maintaining accurate customer account records
  • Develop and review bids with precision, ensuring accuracy and timely submission to Traders
  • Monitor workload distribution, adjusting assignments to optimize team productivity and efficiency
  • Ensure compliance with company policies and document management workflows, promoting accuracy and timeliness
  • Support miscellaneous administrative tasks, such as filing, document routing, and communication with external parties

Requirements

  • Proven experience in a sales support or supervisory role within a fast-paced environment
  • Strong proficiency in Microsoft Excel for reporting, reconciliation, and data analysis
  • Demonstrated ability to manage high-volume invoicing and financial processes with accuracy
  • Excellent organizational and communication skills to coordinate with customers, vendors, and team members
  • Familiarity with document management systems and workflow optimization
  • Ability to train, mentor, and develop team members effectively
  • Solid understanding of bid preparation and proofreading processes
  • Problem-solving skills and adaptability to handle dynamic workloads and priorities
