The OSP Administrative Assistant I supports efficient telecommunications infrastructure projects by managing documents, tracking critical information, and processing departmental billing. This role involves meticulous record-keeping and technical troubleshooting in collaboration with field technicians.
Responsibilities
- Track and file permitting, construction, and engineering documentation
- Process invoices and create Purchase Requests (PRs)
- Organize, track, and disseminate permit information to appropriate individuals and locations
- Update and maintain address records
- Use intermediate to advanced Microsoft Excel skills for spreadsheet management and joint pole database compliance
- Process and track departmental billing
- Communicate with other departments regarding billing matters
- Read and interpret construction prints, fiber designs, splice designs, maps, and permits
- Evaluate service requests for new or un-engineered locations to determine feasibility and scope of work
- Evaluate complaint tickets and communicate information internally and externally
- Troubleshoot reported issues with field technicians, providing necessary information and troubleshooting guidance
- Communicate permit information and restrictions to field technicians promptly
- Track, assign, process, and clear corrective actions provided by pole owners
Requirements
- Eligibility for US Employment without sponsorship
- Minimum of 18 years of age
- Ability to work overtime, weekends, holidays, or off hours
- Minimum of one year working in an office setting
- Proven advanced proficiency in Excel
- Ability to effectively communicate in English
Qualifications
- High School Graduate or GED is required
- Minimum of one year working in an office setting
Nice to Have
- Knowledge of AutoCAD
- Knowledge of Google Earth
- Proficiency in Spanish Language
