Perform routine to complex clerical and administrative duties to maintain order, records, reports, accounts, and files within the Justice Courts. This role supports judicial services by handling financial transactions, managing court documents, and assisting the public.
Responsibilities
- Perform cashier functions by accepting, posting, processing, and verifying payments, credits, and other financial transactions
- Maintain comprehensive index files, forms, reports, and records
- Operate computer terminal to input and receive information related to statistics, records, reports, accounts, and services
- Greet the public over the counter and on phones, responding to questions related to judicial services and functions (cases, bail, warrants, payments, and appointments)
- Maintain official court dockets and associated papers, posting official entries reflecting pertinent facts, financial records, and judgments
- Schedule arraignments, pre-trial, and other hearings, as well as jury and non-jury trials, advising the Judge on court schedules and delinquent cases
- Track community service ordered by the judge
- Open, review, and distribute mail for the court
- Maintain liaison and communications with agencies associated with the criminal justice system
- Prepare, assemble, and check materials for each court session, establishing and routing case files and notices
- Arrange prisoner transportation to and from court
- Perform follow-up work subsequent to court sessions, issuing judicial orders and processing expungements
- Monitor all files for compliance and non-compliance, closing cases per standing and judicial orders
- Assist the public with civil small claims, questions, filings, and payments
- Perform criminal background checks and driver's license checks as appropriate
Requirements
- Two (2) years of clerical support experience or equivalent education and experience
- Pass a required pre-employment background check
- Knowledge of general office and clerical procedures and techniques
- Knowledge of filing procedures
- Knowledge of legal terminology and court documents
- Knowledge of the criminal justice system
- Knowledge of civil and criminal court procedures
- Knowledge of computers, software, and programs related to job specific duties
- Knowledge of Business English
- Knowledge of Bureau of Criminal Identification
- Ability to adhere to State statutes and rules for civil and criminal procedures
- Ability to use a computer and office equipment
- Ability to act independently
- Ability to perform proofreading and editing techniques
- Ability to read, write, and speak using basic English grammar and spelling
- Ability to perform effectively in stressful situations
- Ability to communicate effectively with the public and coworkers
- Ability to interact with people of various social, ethnic, and cultural backgrounds
- Ability to follow directions, prioritize tasks, and work independently with minimum supervision
- Ability to think logically and systematically
- Ability to maintain high-level of confidentiality and discretion
- Ability to follow verbal and written procedures and instructions
Qualifications
- Two (2) years of clerical support experience; OR an equivalent combination of related education and experience.
