About This Role

This Intake Specialist role involves accurately entering referrals, communicating with referral sources and patients, and ensuring compliance with medical documentation and payer guidelines. This position supports patients in receiving home medical equipment and services.

Responsibilities

  • Accurately enter referrals within allotted timeframe, meeting productivity and quality standards
  • Communicate with referral sources, physicians, or staff to ensure documentation is routed for signature/completion
  • Work with leadership to ensure appropriate inventory/services are provided
  • Communicate with patients regarding financial responsibility, collect payments, and document in patient records
  • Review medical records for non-sales assisted referrals to ensure compliance standards are met
  • Follow company philosophies and procedures for appropriate shipping methods
  • Answer phone calls in a timely manner and assist callers
  • Demonstrate expert knowledge of payer guidelines and clinical documentation for qualification status and compliance
  • Work with community referral sources to obtain compliant documentation in a timely manner
  • Contact patients when documentation does not meet payer guidelines and offer additional options
  • Navigate through multiple online EMR systems to obtain applicable documentation
  • Work with insurance verification team to provide accurate information to patients
  • Assume on-call responsibilities during non-business hours

Requirements

  • High school diploma or equivalent
  • 1 year of work-related experience
  • Proficient computer skills and knowledge of Microsoft Office
  • Ability to prioritize and manage multiple tasks
  • Strong verbal and written communication skills
  • Excellent customer service and telephone service skills
  • Ability to navigate through multiple online EMR systems

Qualifications

  • High school diploma or equivalent required; Associate’s degree in healthcare administration, Business Administration, or related field preferred
  • 1 year of work-related experience, with specific experience in healthcare administration, financial, or insurance customer services preferred

Nice to Have

  • Associate’s degree in healthcare administration, Business Administration, or related field
  • Experience in health care administrative, financial, or insurance customer services, claims, billing, call center or management
  • Experience in a health care organization, pharmacy that routinely bills insurance or provides Diabetics, Medical Supplies, HME, Pharmacy or healthcare (Medicare certified) services
