About This Role

This Executive Sales Assistant role at WeAssist will act as the strategic right hand to the CEO, managing high-level client relationships, ensuring timely follow-ups, and driving impact in remote work. The position involves coordinating communications, managing schedules, and supporting sales operations to scale the company.

Responsibilities

  • Manage all client communication and follow-ups via email, iMessage (iPhone), WhatsApp, CRM, and Google Messages
  • Own and maintain the CEO’s full calendar, coordinating with clients, internal teams, and partners
  • Manage both Reef’s personal and WeAssist inboxes, triaging emails for urgency and priority
  • Extract and organize action items from sales calls, client meetings, and internal team meetings
  • Enter and maintain contact records, deals, and lead source details in the pipeline management system
  • Send follow-up messages to leads met at events and respond to inbound messages from various platforms
  • Serve as point of contact for affiliate partners, coordinating communications
  • Handle client onboarding processes, including sending thank-you messages, drafting contracts, and scheduling kick-off calls
  • Maintain and update key sales trackers, prepare monthly sales performance recaps, and attend weekly sales meetings
  • Assist with the creation and refinement of sales contracts, pitch decks, and client materials, and coordinate gifts/incentives for clients
  • Book speaking engagements, podcast appearances, and networking events for the CEO
  • Manage personal administrative tasks for the CEO, including travel arrangements and scheduling home services

Requirements

  • Solid understanding of modern AI tools and familiarity with prompt engineering
  • Positive, self-starting mindset with a bias toward action and ownership
  • Comfortable navigating ambiguity, learning on the fly, and solving problems independently
  • Strong personal integrity and alignment with WeAssist’s values around communication, ownership, emotional regulation, and excellence

Nice to Have

  • AI Engineering or experience building sales/marketing workflows with AI
  • Experience with API or Webhook integrations
  • JSON coding experience or comfort working with low-code/no-code platforms
  • Project management and process-building know-how
  • Resource allocation and operations understanding
  • CRM automations (especially GoHighLevel)
