This role supports a C-level executive at a high-end property management company, expertly managing calendars, communications, and office operations. The position requires strong organizational skills and the ability to maintain confidentiality.
Responsibilities
- Manage the executive's calendar, schedule meetings, prioritize engagements, and coordinate travel arrangements
- Prepare and review internal and external communications, presentations, and reports to ensure accuracy
- Act as a trusted liaison for executive priorities, anticipating needs and resolving potential challenges proactively
- Provide administrative support to additional leadership, including handling sensitive and confidential information
- Oversee daily office operations, such as managing supplies, vendor relationships, and facility maintenance
- Maintain a welcoming and efficient office environment to enhance employee experiences
- Coordinate logistics for internal meetings, including catering, space setup, and planning
- Lead monthly safety meetings for the corporate office and support compliance-related initiatives
- Identify and implement operational improvements to streamline processes and boost efficiency
- Assist with internal communications and special projects impacting the broader organization
Requirements
- Minimum of 3 years’ experience supporting C-level executives or senior leadership
- Advanced proficiency in Microsoft Office Suite, particularly Excel
- Strong skills in writing, proofreading, and formatting detail-oriented documents
- Ability to manage confidential information with discretion and attention to detail
- Solid experience with calendar management, conference calls, and correspondence
Qualifications
- Minimum of 3 years’ experience supporting C-level executives or senior leadership
