About This Role

The Executive Assistant will provide administrative support to the Vice President of Advancement/Executive Director and assist the Board of Directors as its Assistant Corporate Secretary. This role involves coordinating meetings, managing office procedures, supporting events, and assisting with the hiring process.

Responsibilities

  • Provide administrative support to the Vice President of Advancement/Executive Director
  • Schedule meetings with various stakeholders including the Board of Directors, faculty, donors, and staff
  • Coordinate and assist with quarterly Board of Directors and committee meetings, including preparing agendas and minutes
  • Manage travel arrangements and expense reports for the Vice President of Advancement/Executive Director
  • Assist with the hiring process for new employees, including collecting resumes and conducting interviews
  • Coordinate HR transactions such as new hire actions, terminations, and leave of absences
  • Manage purchasing functions, including purchasing cards and vendor information
  • Assist with events, including greeting guests and distributing programs
  • Handle general office support tasks, including managing calendars and updating staff lists

Requirements

  • Bachelor's degree
  • 5+ years of experience in an executive assistant role (10+ years preferred)
  • Proficiency in Microsoft Office Suite (Word, Excel)
  • Superior organizational management and interpersonal skills
  • Demonstrated ability to direct multiple people and projects
  • Excellent written, grammatical, and oral communication skills

Qualifications

  • bachelor's degree in an appropriate area of specialization
  • 5 years of appropriate experience, with a strong preference for a minimum of 10 years as an Executive Assistant

Nice to Have

  • Experience in nonprofit Board Management
  • Experience with donor software programs, especially Raisers’ Edge
