Efficiently manage a variety of business and clerical tasks to ensure the smooth flow of patients and work in a healthcare setting, supporting diagnostic scheduling and authorization processes.
Responsibilities
- Answer telephones and direct calls to appropriate staff
- Check phone messages daily and return urgent messages promptly
- Obtain and process referrals for all diagnostic scheduling
- Schedule all diagnostics, process referrals, and provide patient appointments and instructions
- Secure authorizations for all managed care cases in a timely manner
- Pre-authorize all diagnostic scheduling as applicable
- Maintain an accurate file system for insurance lists and office forms
- Retrieve, route, and process information from right fax daily
- Clear orders in the active queue within 30 days
- Track all authorizations and maintain up-to-date authorization information
- Document and take action on all routine orders within 72 hours
- Document and take action on all STAT orders within 24 hours
- Meet a team average of 300 orders per month at minimum
- Communicate with scheduling operators, clinical staff, and managers/supervisors regarding inquiries and referrals
- Communicate with clinical staff and third-party payors regarding medical necessity for authorizations and insurance expiration reminders
Requirements
- High school diploma or equivalent
- One year work experience with scheduling medical office appointments
- Word processing and computer experience
- Ability to answer multi-line phones
- Good organizational skills
- Ability to deal with confidential patient information
Qualifications

- Completion of a recognized medical secretarial program
