This role supports the successful delivery of K-12 education projects by administering contracts. The specialist prepares, tracks, and maintains owner and consultant agreements, ensuring compliance with public-sector requirements and firm standards.
Responsibilities
- Prepare and process owner-architect agreements, consultant agreements and contract amendments using standard templates (AIA, school district-specific, and firm developed)
- Coordinate contract execution, including signatures, approvals, and required attachments
- Maintain accurate contract records, logs, and version control throughout the project lifecycle
- Assist with contracts for public school districts and bond-funded programs
- Support compliance with public procurement requirements, district policies, and professional standards
- Track required approvals, insurance certificates, and contract deliverables for publicly funded projects
- Prepare and administer agreements for engineering and specialty consultants
- Verify alignment of consultant scopes, fees, and schedules with prime agreements
- Track consultant compliance, including insurance documentation and contract requirements
- Monitor contract status, amendments, and key milestones
- Support project managers with contract interpretation and documentation
- Assist with project closeout documentation related to contracts
- Assist in maintaining and improving firm-wide contract management processes
Requirements
- 2-5 years of experience in contract administration within an architecture, engineering, or construction firm
- Strong organizational skills
- Attention to detail
- Adaptability to current company processes and methodologies
- Problem solving and conflict resolution management skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Qualifications
- Associate’s or Bachelor’s degree in Business, Construction Management or related field
- 2-5 years of experience in contract administration within an architecture, engineering, or construction firm
Nice to Have
- Associate’s or Bachelor’s degree in Business, Construction Management or related field
- Experience supporting K-12 education or public sector projects
- Familiarity with AIA contract documents and professional services agreements
