As a Client Services Representative, you will manage medical records, perform clerical work, educate clients, and support the clinical services team at a veterinary hospital. This role requires practical knowledge of hospital procedures and patient treatment protocols, ensuring high-quality client and patient-centered service.
Responsibilities
- Acknowledge and cheerfully greet clients and visitors professionally and timely
- Register and check-in new and returning clients and patients, processing all required intake and discharge paperwork
- Triage emergency cases appropriately and send follow-up communication
- Schedule follow-up, reschedule, and cancel patient appointments using Cornerstone
- Handle all financial transactions, reconcile client files, and audit invoices prior to discharge
- Offer alternative payment options like Care Credit and AMC payment plans, explaining terms to clients
- Communicate ongoing projects efficiently from shift to shift and co-worker to co-worker
- Assist patients in getting medications refilled
- Maintain confidentiality, security, and physical safety of all patient medical records, including collecting, scanning, processing, maintaining, storing, retrieving, and distributing records
- Maintain the client services area and clinic reception area in accordance with safety and infection control guidelines
Requirements
- Basic knowledge of office procedures and machines
- Proficient knowledge and competency of MS Office (especially Outlook)
- Excellent telephone skills
- Previous veterinary receptionist experience
Qualifications
- High School diploma or equivalent; College degree preferred
