About This Role

This role supports vendor operations and documentation management across the organization, playing a critical part in ensuring vendor compliance, maintaining documentation accuracy, and supporting internal stakeholders. The specialist will thrive in a fast-paced environment, taking ownership of responsibilities and demonstrating exceptional attention to detail.

Responsibilities

  • Review, analyze, and maintain vendor documentation to ensure accuracy, completeness, and compliance with company standards
  • Identify inconsistencies or discrepancies in contracts, insurance documentation, and vendor records and proactively resolve issues
  • Partner with internal stakeholders to understand reporting, documentation, and compliance needs
  • Coordinate the collection, tracking, and archiving of vendor-related documents within established timelines
  • Draft and manage written communications related to vendor contracts and documentation requirements
  • Maintain an organized and accessible vendor library, ensuring records are current and audit-ready
  • Develop and manage project timelines to meet deadlines in a fast-paced environment
  • Contribute to process improvements that enhance efficiency, organization, and operational effectiveness
  • Provide support on cross-functional initiatives and special projects as needed

Requirements

  • 2+ years of administrative, vendor coordination, contract support, or operations experience
  • Demonstrated ability to work independently and take initiative with minimal supervision
  • Strong time management and prioritization skills with the ability to adapt to shifting priorities
  • Proactive problem-solving mindset with strong attention to detail
  • Professional communication skills and a collaborative approach when working cross-functionally

Qualifications

  • Bachelor’s degree or continuing education in Business Administration, Operations, or a related field preferred
  • 2+ years of administrative, vendor coordination, contract support, or operations experience

Nice to Have

  • Experience with contracts, insurance documentation, construction vendors, or compliance processes
