This role supports vendor operations and documentation management across the organization, playing a critical part in ensuring vendor compliance, maintaining documentation accuracy, and supporting internal stakeholders. The specialist will thrive in a fast-paced environment, taking ownership of responsibilities and demonstrating exceptional attention to detail.
Responsibilities
- Review, analyze, and maintain vendor documentation to ensure accuracy, completeness, and compliance with company standards
- Identify inconsistencies or discrepancies in contracts, insurance documentation, and vendor records and proactively resolve issues
- Partner with internal stakeholders to understand reporting, documentation, and compliance needs
- Coordinate the collection, tracking, and archiving of vendor-related documents within established timelines
- Draft and manage written communications related to vendor contracts and documentation requirements
- Maintain an organized and accessible vendor library, ensuring records are current and audit-ready
- Develop and manage project timelines to meet deadlines in a fast-paced environment
- Contribute to process improvements that enhance efficiency, organization, and operational effectiveness
- Provide support on cross-functional initiatives and special projects as needed
Requirements
- 2+ years of administrative, vendor coordination, contract support, or operations experience
- Demonstrated ability to work independently and take initiative with minimal supervision
- Strong time management and prioritization skills with the ability to adapt to shifting priorities
- Proactive problem-solving mindset with strong attention to detail
- Professional communication skills and a collaborative approach when working cross-functionally
Qualifications
- Bachelor’s degree or continuing education in Business Administration, Operations, or a related field preferred
- 2+ years of administrative, vendor coordination, contract support, or operations experience
Nice to Have
- Experience with contracts, insurance documentation, construction vendors, or compliance processes
