About This Role

This role will support the Head of Delegation by preparing, managing, and executing official and social events, handling high-level communications, and advising on diplomatic protocol. The position requires meticulous organization and discretion in a fast-paced international environment.

Responsibilities

  • Prepare, manage, and execute all official and social events hosted by the Head of Delegation (HOD) and Deputy Head of Delegation (DHOD)
  • Manage all verbal and written communications with social event guests, including high-level US and EU visitors
  • Ensure internal communication on events within the Delegation and develop/maintain contacts with external parties
  • Review invitations and consult with other Delegation sections to make recommendations regarding appropriate course of action
  • Develop and maintain a register of contacts and a filing system for past events and engagements
  • Advise Delegation leadership and act as point of contact on diplomatic social protocol, US social customs, and airport protocol for eligible high-level visitors
  • Serve as the main contact point for EU Member States for HOMS meetings and events with HOD
  • Supervise Residence staff and Administration on issues related to the maintenance and administration of HOD Residence

Requirements

  • Minimum of High School/Secondary school diploma or equivalent
  • Minimum of 1 year's experience relevant to the tasks of the job
  • Excellent organization and coordination skills
  • Demonstrated communication skills
  • Excellent social and interpersonal skills
  • Discretion on sensitive matters
  • Ability to multi-task and prioritize in a fast-moving environment
  • Professional, proactive, persistent, punctual, and discreet
  • Ability to safeguard confidential matters
  • Excellent spoken and written command of the English language
  • Excellent computer skills (Microsoft Word, Excel, Outlook, scheduling tools, internet applications, database experience)

Qualifications

  • High School/Secondary school diploma or equivalent
  • Minimum of 1 year's experience relevant to the tasks of the job

Nice to Have

  • Higher education
  • Knowledge and understanding of the Washington DC international, philanthropic and events community
  • Familiarity with the U.S. Government and political system, think tanks, NGOs, and cultural organizations
  • Working knowledge of US protocol, including Order of Precedence
  • Knowledge of other European languages
  • Experience in an international organization, a diplomatic mission, a multicultural environment, or familiarity with the European Union
