This role supports the Research, Innovation and Scholarly Excellence (RISE) Initiative at the University of Wisconsin–Madison's Data Science Institute, focusing on artificial intelligence and other focus areas. The position involves organizing events, communicating with partners, and providing administrative support for critical initiatives, ensuring the smooth operation of campus-wide research collaborations.
Responsibilities
- Organizes and manages meetings and events, including on-site setup, registration, troubleshooting, and cleanup
- Communicates with campus and external partners
- Provides administrative support for RISE internal research funding competitions and other functions
- Provides administrative support for the Office of the Vice Chancellor for Research and Administration
- Updates websites
- Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
- Maintains established methods and organizational systems for electronic/physical records
- Serves as a first point of contact, providing basic organizational information and routing complex inquiries
- Collects, analyzes, and prepares various communication materials utilizing technology mediums
- Sends, receives, copies, and distributes communications to appropriate entities
Requirements
- Experience administering or managing projects, tasks, and deadlines using digital tools
- Ability to solve problems independently and collaboratively
- Professional communication skills with clients
Qualifications
- Bachelors Degree
Nice to Have
- Administrative support experience for a group or team in a professional setting
- Experience managing event and meeting logistics (registration, catering, venue reservations, agendas, presentations)
- Experience with event and meeting logistics at UW–Madison
- Experience coordinating calendars and scheduling meetings for multiple individuals
- Website updating experience, ideally using WiscWeb platform / Wordpress
- Experience handling financial transactions for an organization or office
- Comfortable utilizing Workday, Microsoft Word, Excel, Adobe Acrobat, Google Drive, Box, Zoom, Microsoft Teams
- Experience with SurveyMonkey Apply and Adobe design software / Canva
- Prior experience within the University of Wisconsin System or a similar higher education institution
