This role is responsible for coordinating the relocation plan for residents during renovations, ensuring smooth execution by directing site staff and residents, and collaborating with third-party agencies.
Responsibilities
- Conduct regular resident meetings and distribute meeting minutes
- Coordinate with construction to distribute up-to-date schedules and renovation notices to residents at least 30 days prior
- Conduct in-person meetings with residents 30 days before renovation to identify potential difficulties, special accommodations, and fragile furniture, recording information on walk sheets and spreadsheets
- Set up, maintain, and assign guest suites, including ordering furniture, necessary items, and ensuring utility setup and maintenance
- Oversee the cleanliness, pest control, and inspection of guest suites between resident stays, maintaining a log to prevent double booking
- Maintain a binder of all distributed resident notices
- Coordinate schedules with packing/moving workers for unit moves
- Create and maintain claims for missing/damaged items from residents and close out each claim
- Purchase and distribute daily food to residents with ongoing unit work
- Organize daily resident activities in community rooms during unit renovations
- Implement procedures for record-keeping, monitoring, and evaluation of relocation processes using a tracking spreadsheet
- Manage the Renovation Coordinator cell phone for resident communication, ensuring timely responses, and bill payment
- Provide appropriate responses within 24 hours to tenant questions, complaints, and concerns regarding relocation
- Collaborate with Investment Manager to create detailed relocation budget, framework, tenant information matrix, and phasing plans
- Provide relocation assessments and ongoing advisory assistance to minimize resident hardship during displacement, including reasonable accommodation requests
- Identify, survey, and coordinate obtaining off-site units for temporary relocation as needed
- Interview affected households to determine temporary relocation needs
- Prepare and maintain documents to represent the management company in court for unlawful detainer actions related to relocation
Requirements
- Knowledge and ability to perform general maintenance and renovations practices
- Self-motivated with attention to detail and ability to meet firm deadlines
- Ability to comply with all company safety processes and procedures
- Proficient in Microsoft Word and Microsoft Excel
Nice to Have
- Previous experience or professional education in social services and/or counseling
