About This Role

This role is responsible for the comprehensive management of case records, serving as the primary liaison between District Court clerks' offices and various court entities. The Records Manager ensures efficient record transfer, tracking, and distribution, performing essential audit tasks and overseeing all mail services.

Responsibilities

  • Ensure all necessary record material is transferred from district courts and administrative agencies
  • Retrieve, copy, and route files, transcripts, exhibits, and record material for court personnel, judges, and others
  • Correspond with district courts to obtain record material and maintain a tickler system for follow-up
  • Log and maintain all sealed records to ensure confidentiality
  • Prepare and ship records to the Federal Record Center and NARA
  • Contact attorneys to obtain needed record materials and coordinate the return of records with chambers
  • Maintain, review, and audit all UPS and Federal Express records, tracking missing or delayed materials
  • Perform daily mail duties including opening, logging, sorting, and distributing mail
  • Advise the Clerk on mailing procedures, suggest improvements, and analyze new equipment
  • Monitor postage usage to prevent fraud, abuse, or waste and perform audits
  • Monitor and resolve delinquent records issues
  • Serve as bailiff for court sessions and assist with courtroom preparation

Requirements

  • Paralegal training or 4+ years equivalent work experience
  • Ability to effectively communicate orally and in writing with diverse individuals and groups
  • Ability to work independently and collaboratively
  • Detailed knowledge of court filing systems
  • High degree of understanding of district court records and files
  • Knowledge of court confidentiality requirements
  • Ability to consistently demonstrate sound ethics and judgment

Qualifications

  • 4+ years equivalent work experience that demonstrates the necessary knowledge and skills, or paralegal training

Nice to Have

  • Bachelor’s degree in a relevant field
  • Knowledge of court operations, functions, and organizational structure of units supported
  • Knowledge of the Guide to Judiciary Policy, Human Resources Manual, and internal controls guidelines
  • Familiarity with CM/ECF
