Production Admin

About This Role

The Production Administrator ensures smooth project execution and a seamless customer experience for roofing, siding, gutters, and window services. This role involves coordinating across crews, clients, and internal staff, managing multiple priorities, and maintaining strong communication. The administrator will utilize CRM systems to manage contracts, scheduling, permits, and provide project updates.

Responsibilities

• Review customer contracts for accuracy of colors, sizes, and job-specific details
• Prepare production documents and instructions for installation crews
• Order materials and coordinate timely delivery to job sites
• Communicate with customers to set expectations, schedule installations, and clarify project requirements
• Obtain and process permits from local building departments
• Manage status calls and provide timely customer updates through CRM systems
• Track and document progress of all project phases in service management software
• Develop and share comprehensive project plans with customers and internal staff
• Ensure installation documentation is complete and accurate
• Update invoices and purchasing documents to reflect changes identified during installation

Requirements

• Customer service or administrative experience
• Proficiency with CRM and service management software
• Strong organizational skills and ability to manage multiple priorities with attention to detail
• Excellent verbal and written communication skills
• Customer-focused approach
• Problem-solving mindset
• Adaptable, proactive, and team-oriented
• Comfortable working at a computer for extended periods
• Able to occasionally lift up to 15 lbs
• Ability to communicate effectively via phone, video, and in person

Qualifications

• Customer service or administrative experience; construction or home services experience a plus
