About This Role

This role is responsible for managing customer orders from start to finish and ensuring the timely procurement of goods and services. The coordinator will serve as a liaison between customers, sales, suppliers, and internal teams to maintain supply chain accuracy and efficiency.

Responsibilities

  • Receive, process, and confirm customer orders accurately
  • Enter orders into the system and verify pricing, quantities, and delivery dates
  • Communicate with customers about order status, delays, or changes
  • Resolve order discrepancies, returns, or complaints
  • Maintain clear documentation of all orders and transactions, creating purchase orders (PO’s) and corresponding invoices
  • Source products and materials from approved suppliers
  • Prepare and issue purchase orders based on customer demand and stock levels
  • Negotiate prices, delivery times, and terms with suppliers when needed
  • Track purchase orders and ensure on-time delivery
  • Manage supplier relationships and performance
  • Monitor inventory levels and anticipate replenishment needs
  • Coordinate with warehouse or logistics teams for receiving and shipping
  • Ensure alignment between customer orders and available stock
  • Update systems with accurate inventory and procurement data
  • Maintain accurate records of orders, purchases, and supplier information
  • Prepare basic reports on order volume, procurement costs, and delivery performance
  • Support audits and compliance with company procedures

Requirements

  • Experience in order processing, procurement, or supply chain coordination
  • Strong organizational and multitasking skills
  • Attention to detail and accuracy
  • Good communication and negotiation skills
  • Ability to work with ERP or CRM order management systems
  • Basic understanding of inventory management
