This part-time Office & Administrative Specialist will support Vocational Rehabilitation staff at State Services for the Blind by preparing and processing payments, monitoring invoices, and communicating with vendors. The role involves ensuring accuracy of financial information to improve the well-being of Minnesotans who are blind, low-vision, or Deafblind.
Responsibilities
- Prepare and process payments in accordance with established procedures and timelines
- Monitor the invoice mailbox, forwarding emails and prompting staff for invoice initiation
- Communicate with vendors as needed to receive invoices and reports for payment processing
- Verify the accuracy of information (names, dates, addresses, amount) on invoices and corresponding authorizations
Requirements
- Skill in customer service sufficient to provide prompt and accurate information to customers
- Skill in typing/keyboarding, using Microsoft Word or equivalent software
- Skill in accounting sufficient to review, analyze, verify financial records, calculate fees, and prepare reports
- Skill in math sufficient to calculate, review, reconcile financial data, and balance accounts
- Knowledge of communications sufficient to write, prepare, and edit materials using correct grammar and sentence construction
Nice to Have
- Office administrative support experience
- Experience working with the State of Minnesota and/or the StateWide Integrated Financial Tools (SWIFT) financial system
- Experience providing services to people who are Blind, Low Vision, and DeafBlind
- Experience working effectively with others from different backgrounds and cultures
