Provide high-level secretarial and administrative support to five or more attorneys within the Tax practice, ensuring efficiency, accuracy, and exceptional client service in a hybrid work environment.
Responsibilities
- Handle scheduling and travel arrangements for court appearances, depositions, arbitrations, mediations, client meetings and conference calls
- Arrange business itineraries and coordinate lawyers’ travel arrangements; process travel reimbursement
- Maintain calendar and due dates for lawyers as required
- Sort, read and annotate incoming mail and documents
- Type and compose general correspondence, memos, legal documents, faxes, reports from various sources, ensuring accuracy and clarity
- Prepare draft documents such as briefs, complaints, motions, subpoenas, summonses using firm templates and attorney information
- Coordinate multi-document filings in Federal, Circuit and State courts, including E-filings
- Establish and maintain filing and records, in both hard copy and electronic formats
- Perform and oversee proofreading of briefs and other legal documents
- Assist with trial preparation, including creating trial notebooks, organizing exhibits, coordinating witness schedules
Requirements
- Proficiency with rules for court document filings
- Comprehension of a variety of legal court documents
- Strong ability to maintain high standards, use good judgment, and anticipate needs
- Strong attention to detail, organizational skills, and ability to manage time effectively
- Excellent interpersonal and communication skills
- Ability to work under pressure to meet strict deadlines
- Computer proficiency in Microsoft Office Suite applications (Word, PowerPoint, Excel, Outlook)
- Expertise in e-filing
Qualifications
- Bachelor's Degree or equivalent experience preferred
- Minimum 3 years of experience as a legal secretary/assistant, working in a litigation or labor and employment law practice
