Fire Testing Department Administrator

About This Role

This role supports the Testing team and acts as the main point of contact between customers and the Testing Department. This individual will handle daily administrative tasks, including customer communication, managing data, supporting and processing testing agreements, and preparing reports when needed.

Responsibilities

• Communicate regularly with internal staff and external customers, responding to phone calls, emails, and system requests daily
• Manage time well to meet goals and deadlines and keep assigned tickets updated in the company CRM system
• Coordinate department activities to ensure work is efficient and follows company policies
• Provide administrative support to Account Executives, Lead Testing Technicians, and Department Management
• Assist with testing contracts and renewals to ensure coverage does not expire
• Set up customers, vendors, and subcontractors by collecting required forms and agreements and entering them into the CRM system
• Keep department service boards accurate and up to date for team members
• Help manage the department’s testing schedule
• Act as a main contact for customers, completing follow-up calls and looking for ways to improve the customer experience
• Work closely with billing and collections staff to support timely communication and record actions in CRM

Requirements

• 2+ years of experience in an administrative support role
• Proficient in Microsoft Office
• Proficient in Adobe Acrobat
• Reliable, punctual, and maintains consistent attendance

Qualifications

• High school diploma or equivalent
• At least two years of experience in an administrative support role
