About This Role

The Financial Advisor Assistant will provide administrative and operational support to financial advisor(s) and help clients meet their financial goals in a fast-paced financial planning office.

Responsibilities

  • Serve as the primary point of contact for clients’ operational inquiries and service requests
  • Build strong relationships with existing clients and ensure new clients have a positive onboarding experience
  • Utilize financial planning software and tools to prepare new investment or insurance applications, support transfers, and money movement
  • Support financial advisor/s with preparation for client review meetings by generating reports and preparing forms
  • Ensure all client applications, reports and processes adhere to compliance standards
  • Manage Customer Relationship Management system
  • Handle confidential and/or sensitive information responsibly
  • Continuously identify opportunities to streamline processes, increase efficiency, and improve service delivery
  • Leverage written and oral communication methods to conduct routine tasks such as scheduling appointments, compose and proofread correspondence and manage client correspondence
  • Organize workflow and keep Financial Advisor’s workflow organized

Requirements

  • At least two (2) years of financial services or insurance industry experience
  • Excellent interpersonal, oral and written communication skills
  • Detail oriented and able to work in a fast-paced environment
  • High degree of comfort managing multiple tasks simultaneously
  • Proficiency with Zoom, Microsoft Office Suite (word processing, excel, power point), data base management; spelling and grammar skills; proficiency in math, accounting, and analytical skills; research, analysis, planning and organizational skills
  • Takes action on office priorities in a proactive manner
  • Dedication to detail and accuracy
  • Positive attitude and dedication to providing exceptional customer experience
  • Excellent administrative, time management, and organizational skills

Qualifications

  • Associate or bachelor's degree
  • At least two (2) years of financial services or insurance industry experience

Nice to Have

  • Custodian trading system (e.g., RBC, Schwab, etc.) experience
