Executive Real Estate Assistant

About This Role

Serve as the operational backbone for a real estate business by owning transaction coordination and operations from contract to close. This role ensures agents remain focused on production and clients receive a smooth, organized experience.

Responsibilities

• Own transaction coordination from contract to close, including timelines, deadlines, and compliance-ready files
• Coordinate inspections, appraisals, title/escrow, lenders, and closing logistics
• Send proactive milestone updates and prepare closing and post-close documentation
• Maintain clean, accurate CRM records and manage weekly pipeline updates
• Confirm appointments, prepare materials, and log follow-up notes
• Create and maintain SOPs, checklists, templates, and an organized operations playbook
• Manage inbox communications, follow-ups, and routine client/vendor coordination
• Assist and prepare sellers for listing their home in the market
• Install signs, lock boxes, and other promotional material for homes
• Assist in showing homes to clients in Montgomery County and all surrounding counties
• Manage social media accounts

Requirements

• High school diploma
• Licensed or willing to get licensed prior to first day (for TN)
• Strong detail-orientation and accuracy-driven
• Steady, organized, and process-focused
• Clear, proactive, and respectful communicator
• Strong problem-solving and time management skills
• Open to constructive feedback and willing to grow
• Must have laptop and cellphone
• Overall tech-competent

Qualifications

• High school diploma required

Nice to Have

• Prior real estate transaction coordination, admin, and/or office management experience
• Familiarity with CRM and transaction management platforms
• General real estate interest and experience
