Executive Assistant to the CEO

About This Role

This Executive Assistant will directly support the CEO of a digital marketing agency, driving operational excellence, client success, and internal coordination during an exciting growth phase, while acting as a strategic support partner.

Responsibilities

• Manage CEO calendar, priorities, and meeting logistics
• Prepare agendas, take meeting notes, and track executive action items
• Draft and organize CEO communications (internal & client-facing)
• Assist with follow-ups after leadership meetings, client calls, and strategy sessions
• Coordinate cross-department initiatives on behalf of the CEO
• Act as a gatekeeper for scheduling, requests, and priorities
• Support strategic planning sessions and quarterly reviews
• Support CEO in key client relationships and executive-level touchpoints
• Assist with proposals, contracts, invoices, and approvals
• Maintain organized systems for documents, CRM, and PM tools

Requirements

• 2-5 years experience as Executive Assistant, Operations Coordinator, Client Success Lead, or Agency Admin
• Exceptional organization and time-management skills
• Strong written and verbal communication
• Ability to anticipate needs and work independently
• Discretion, professionalism, and high emotional intelligence
• Comfortable handling sensitive information
• Tech-forward and detail-oriented

Qualifications

• 2-5 years experience as Executive Assistant, Operations Coordinator, Client Success Lead, or Agency Admin

Nice to Have

• Experience supporting a CEO or founder
• Background in digital marketing or agency operations
• Familiarity with ClickUp, ActiveCollab, Slack, CRM tools
• Bilingual (English/Spanish)
