Client Care Coordinator

About This Role

This Client Care Coordinator role supports the daily operations of a medical spa by managing client interactions, scheduling appointments, and performing administrative tasks. The role ensures excellent client care and efficient clinic operations.

Responsibilities

• Provide excellent client care and customer service
• Answer and screen high volume of inbound phone calls
• Manage appointments including scheduling, moving and canceling
• Actively promote the clinic, treatments, services, products, programs, promotions, and discounts
• Provide accurate, appropriate, and immediate responses to all guest requests
• Accurately complete client transactions
• Manage multiple responsibilities while maintaining composure and client priority
• Perform opening and closing duties of the clinic
• Provide basic office administrative support tasks (mailing, faxing, sorting, typing, filing)
• Maintain complete confidentiality in all guest matters

Requirements

• Availability to work any shift including weekday, weekend, and evening shifts
• 1+ years of customer or sales experience
• Exceptional customer service skills
• Ability to be efficient and productive in a fast-paced environment
• Ability to multi-task, prioritize, and organize with high accuracy
• Team player
• Knowledge of Internet, Outlook, Excel, Word

Qualifications

• High School Diploma or GED required; AA preferred
• 1+ years of customer or sales experience required; experience in an aesthetic setting preferred

Nice to Have

• AA degree
• Experience in an aesthetic setting
• Social media experience
• Experience in medical office/understanding of cosmetic procedures/skin care products
• Experience with Zenoti or other POS systems
