About This Role

This role involves managing customer deductions and disputes by identifying, investigating, and resolving claims efficiently. The Claims Coordinator will coordinate recovery efforts, partner with internal teams, and implement process improvements to reduce recurring issues.

Responsibilities

  • Identify, categorize, and accurately log all customer deductions (pricing discrepancies, shortage claims, promotional allowances, etc.) into company systems in a timely manner.
  • Investigate and validate deductions by researching purchase orders, invoices, bills of lading, promotional agreements, and other supporting documentation.
  • Coordinate recovery efforts with customers to secure repayment of unauthorized or invalid deductions.
  • Partner proactively with Warehouse, Customer Service, Sales, Finance, and other internal stakeholders to gather documentation and resolve claims efficiently.
  • Communicate clearly and professionally with customers and internal teams to align outcomes and prevent recurring issues.
  • Maintain organized and audit-ready documentation, including agreements, SOPs, and supporting files.
  • Identify trends, root causes, and recurring deduction issues; recommend process improvements to reduce future claims.
  • Support departmental initiatives and perform administrative tasks as needed to help achieve team objectives.
  • Maintain accurate deduction records and dashboards.
  • Provide weekly and monthly reporting to leadership on recovery rates, aging, trends, and key deduction drivers.

Requirements

  • 2+ years of experience in Customer Operations, Customer Service, Order Management, Accounts Receivable, or related fields involving deductions or disputes
  • Strong numerical accuracy and analytical skills
  • Collaborative communicator capable of navigating difficult conversations
  • Proficiency in Microsoft Excel, Word, and ERP systems
  • Proactive, process-improvement mindset

Qualifications

  • 2+ years of experience in Customer Operations, Customer Service, Order Management, Accounts Receivable, or related fields involving deductions or disputes.
