About This Role

This Child Services Assistant role focuses on providing essential clerical and administrative support to the Martinsville office of the Department of Child Services, ensuring proper organization and retention of case files, preparing reports, and assisting staff in connecting clients to resources, all while maintaining a high level of collaboration and confidentiality.

Responsibilities

  • Maintain a variety of files, update case files as new material is collected, ensure that information is kept organized and that all necessary case documentation is retained in compliance with the record retention policy
  • Prepare reports involving tabulations and balancing of posted data and simple arithmetic calculations
  • Answer inquiries over the telephone or in person concerning regulations or procedures within specialized area
  • Receive and prepare replies to routine correspondence
  • Operate office machines related to specific area of work

Requirements

  • Working knowledge of administrative work specific procedures
  • Working knowledge of DCS procedures involved in the gathering and compiling statistical data or information and the preparation of standardized reports
  • Ability to be tactful in dealing with persons over the telephone and in person
  • Ability to make clerical decisions regarding appropriate procedures within specific program area
  • Working knowledge of computer software systems and data entry procedures
  • Ability to make simple arithmetic computations
  • Ability to maintain confidential records
  • Working knowledge of legal policies and procedures pertaining to the field of DCS child welfare
