This role provides direct administrative support to General Counsel and other AVP/Sr. Directors within the Operations team, ensuring optimal performance and meeting deadlines. The coordinator will also assist other Business Coordinators and their respective departments.
Responsibilities
- Provide administrative support to various team members including maintaining and updating calendars, and coordinating travel/hotel arrangements
- Provide backup support for the internal AMS content tracker and research contract process
- Assist with contract administration, purchase orders, processing invoices, and expense reports for the Operations team
- Support the hiring and onboarding for new and transitioning employees
- Assist NPB's Event Manager with scheduling internal planning meetings, creating Cvents, and completing non-employee expense reports
- Assist with special projects as they arise
- Prioritize tasks and duties, providing check-ins with team members to ensure optimal team performance and deadline adherence
Requirements
- Minimum three (3) years of administrative work, office management, or similar related experience
- Well versed and current with Microsoft Office (Word, PowerPoint, Excel, Teams, OneNote, etc.)
- Excellent verbal, interpersonal, and writing skills
- Ability to multi-task responsibilities with competing priorities
- Ability to work well under pressure and plan ahead to meet deadlines
- Ability to maintain confidential information
Qualifications
- High school diploma or equivalent, 2- or 4-year college degree in communications, marketing, or business preferred
- Minimum three (3) years of administrative work, office management, or similar related experience
